Job Title: Administrative Assistant Department Support Assistant
Assignment Duration: February 16 – August 21 2026 with the potential to extend based on performance and business need.
Schedule: 40 hours/week | 5 days per week
Pay Rate: $20.50 per hour

About the Role
Are you a detail-oriented professional who thrives in a fast-paced high-accountability environment? We are seeking an organized and service-driven Administrative Coordinator to support senior leaders and executive assistants within a dynamic business unit.
This role requires exceptional communication skills strong judgment and the ability to manage sensitive information with discretion and professionalism. You will play a key role in keeping operations running smoothly through proactive calendar management travel coordination expense processing and general office support.

Exceptional attention to detail including proofreading and handling confidential information

Ability to resolve scheduling conflicts and logistical challenges efficiently

Experience arranging travel and ensuring timely accurate expense report completion

Microsoft Office Suite (Word Excel Outlook Teams)
Key Responsibilities

Manage calendars schedule appointments and resolve conflicts across multiple stakeholders

Coordinate domestic and international travel arrangements including travel-related visas

Process expense reimbursements accurately and ensure compliance with company travel policies

Reconcile P-card transactions
-
Coordinate lunch orders refreshments and last-minute café pickups
-
Support office operations including supply ordering meeting setup off-site coordination and visitor badging/escort

Provide backup support to executive assistants during absences

Submit facility and janitorial requests as needed

Assist with special projects and team events as assigned
