Position Summary

We are seeking a bilingual Patient Services Representative to support a busy dental clinic during a short-term assignment. This role is ideal for candidates with front office customer service or dental/medical administrative experience who enjoy working directly with patients and supporting access to care.

The Patient Services Representative is responsible for greeting patients answering phones registering new and existing patients verifying insurance collecting payments and providing general administrative support. This position plays a key role in ensuring a positive patient experience and smooth daily clinic operations.

Essential Responsibilities

• Greet patients visitors and callers in a professional and welcoming manner
• Register new and returning patients and assemble required documentation
• Verify insurance eligibility benefits and authorizations
• Enter and update patient demographic and insurance information in Epic
• Assess patient financial responsibility and collect co-pays and deductibles at check-in
• Provide information regarding available funding resources and sliding fee discount programs
• Utilize payer portals to verify coverage (Medi-Cal Medicare Managed Care Commercial plans)
• Respond to patient inquiries related to services policies and access to care
• Identify urgent patient needs and escalate appropriately
• Maintain accurate fiscal demographic and patient service records
• Collaborate with clinic staff to resolve patient access issues and barriers
• Perform general clerical and front office duties as needed

Additional Duties

• Follow established departmental policies procedures and safety standards
• Comply with quality assurance infection control and environmental guidelines
• Participate in trainings in-services and meetings as required
• Adapt to changing clinic workflows and organizational needs
• Perform other duties as assigned by the Patient Services Supervisor

Education Requirements

High school diploma or GED required.

Experience Requirements

• Minimum one (1) year of customer service or general office experience required
• Dental or medical front office experience preferred
• Familiarity with dental terminology and records filing preferred
• Experience using Epic or similar electronic health record systems preferred

Skills and Qualifications

• Bilingual English/Spanish (verbal and written) required
• Strong customer service and communication skills
• Accurate data entry and attention to detail
• Ability to explain information clearly and tactfully
• Ability to work in a fast-paced clinical environment

Preferred Certifications

• Valid California Driver’s License
• Medical Assistant Certification

Working Conditions and Physical Requirements

• Primarily seated office environment
• May be required to lift up to 25 lbs
• Use of multi-line phones computers and standard office equipment
• May occasionally work evenings weekends or at alternate clinic locations
