Job Summary

This position supports the Instrumentation and Operations team and reports to the Instrumentation Manager. The role provides operational and administrative support related to equipment maintenance vendor coordination and asset management within a manufacturing environment.

Key Responsibilities

  • Coordinate and support vendor visits for equipment installation calibration preventive maintenance and repairs
  • Create update and monitor work orders in a CMMS system
  • Maintain spreadsheets and department metrics for reporting and analysis
  • Update asset management systems with vendor documentation and completed maintenance records
  • Assist technicians with asset tracking and database updates
  • Support preparation of reports and presentations for leadership
  • Ensure compliance with record retention and documentation standards
  • Communicate with internal teams and external vendors to coordinate operational activities
  • Support additional projects as assigned

Requirements

  • High school diploma or GED required; AA preferred
  • 3+ years of administrative or operations support experience
  • Experience working with senior-level stakeholders
  • Strong written and verbal communication skills
  • Advanced proficiency in MS Word Excel PowerPoint and Outlook
  • Experience with CMMS systems (e.g. BMRAM Maximo) preferred
  • Strong attention to detail organization and multitasking ability
  • Ability to work in a fast-paced environment and manage shifting priorities
  • Ability to handle sensitive information with discretion

Work Environment / Physical Requirements

  • Onsite manufacturing environment
  • May involve walking lifting stooping and working in confined spaces
  • Use of tools equipment and computer systems
  • Personal protective equipment required (safety glasses gloves safety shoes)
  • Occasionally exposed to noise
