Job Title: Administrative Partner (Executive Support)
Location: San Diego CA (Hybrid majority onsite)
Duration: Through November 30 2026
Pay Rate: $39.75 – $49.75 per hour
Overview
We are seeking a highly professional and personable Administrative Partner to provide executive-level support to two Vice Presidents with a strong emphasis on complex calendar management. This role is ideal for someone who thrives in a fast-paced environment demonstrates strong communication skills and can effectively manage competing priorities while maintaining a high level of discretion.
This position is a leave-of-absence (LOA) coverage role.
Key Responsibilities
- Provide dedicated administrative support to two Vice Presidents and their respective teams
- Manage complex and dynamic calendars including scheduling meetings conferences and teleconferences
- Coordinate and manage all domestic and international travel arrangements including accommodation and logistics
- Plan and execute meetings events and conferences including logistics and vendor coordination
- Prepare reports presentations and other materials by collecting and analyzing information
- Screen and direct phone calls emails and inquiries acting as a key point of contact
- Organize reconcile and submit expense reports using Concur
- Maintain confidentiality while handling sensitive and critical information
- Act as an ambassador for the organization demonstrating professionalism and a positive attitude in all interactions
- Build strong partnerships across departments functions and leadership teams
- Identify and implement process improvements to enhance administrative efficiency and productivity
- Support operational needs by managing administrative projects and ensuring timely execution
- Develop and improve systems and procedures related to recordkeeping communication and office operations
Qualifications & Requirements
- Proven experience supporting executive-level leadership preferably VP-level or above
- Strong experience in calendar management travel coordination and meeting/event planning
- Experience preparing presentations and supporting conference registrations
- Proficiency in expense report management (Concur preferred)
- Advanced proficiency in Microsoft Office Suite (Outlook Word Excel PowerPoint)
- Exceptional organizational multitasking and prioritization skills
- Strong verbal and written communication skills
- Ability to maintain professionalism and effectively engage with executive-level stakeholders
- High level of discretion and ability to handle confidential information
