Job Title: Administrative Assistant

Location: San Diego CA 92121
Schedule: Monday – Friday Business Hours
Duration: Temporary to Hire (Based on performance and business need)
Pay: $22 – 24 per/hour DOE

Position Summary:
The Administrative Assistant is responsible for providing sales support onboarding new clients and maintaining CRM database. The team member serves as a resource to existing customers prospects and all employees. She/he shall be aligned with and support the overall goals and objectives of the entire company and actively provide input and support throughout the company.

 

Responsibilities:

Essential Duties and Responsibilities (Other duties may be assigned as needed)

 

• Onboarding New Clients:

o Coordinate with Accounting department to set up new Accounts: establishing PO terms

increasing credit limits or coordinating pre-payment options with clients

• Accurately complete and maintain CRM database:

o Ensure data is accurate across Accounts Contacts & Opportunities

o Update PSA milestones when quote revisions are made

o Keep CRM up-to-date and closing out lost opportunities

o Capture all client communication into CRM

o Provide accurate and up to date documentation with client contacts to reflect current

state of process

 

• Adhere to standard procedures or process regarding quote writing

• Provide data analysis support on Engineering Services running metric total.

• Escalate any concerns and issues to the Engineering Services Manager.

• Provide Sales Support:

o Provide first level of client support and services over the phone in person and via email

and entering new opportunities into CRM

o Assist with simple quote revisions and requesting updated PO’s when needed

o Complete required quote “follow-up” calls on a daily weekly and monthly basis to stimulate repeat business and loyalty

 

Qualifications:

To perform this job successfully an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge skill and/or ability required.

 

Requirements for Eligibility

• Associate’s Degree or equivalent experience preferred.

• 3-5 years of strong sales admin/customer service or equivalent experience

• Strong data management experience Salesforce experience preferred

• Excellent verbal & written English language skills are required

• Possess a strong work ethic and a high level of professionalism

• Proficiency in Microsoft Office suite and strong computer literacy

• Intermediate Math analysis and computation skills
